Smart Freight Centre (SFC) is an NGO that has gained a lot of attention during the past 10 years, as we have been leading the way to an efficient and zero-emissions global freight sector. We drive transparency and mobilize multinational companies and their logistics partners to take action. This is done through globally standardized guidelines for industry to calculate, report, and reduce emissions. 

✏️ About the position 

As Program Coordinator, you will provide administrative and operational support across SFC’s Maritime and Clean Air Transport (CAT) programs with responsibilities split approximately 50/50 between Maritime and Aviation. You will report to the Program Manager (Maritime) and Junior Program Manager (CAT) and work closely with internal teams and external partners to ensure smooth program delivery, as well as support related SFC products and services such as training and webinars. 

This role offers a unique opportunity to gain hands-on experience in the green freight sector, supporting collaborations that track emissions, sharing best practices, and driving sustainability across global shipping and aviation supply chains. You will interact with globally leading companies and organizations, helping coordinate initiatives that impact some of the world’s largest public-facing firms.

⭐ Here’s an idea of what tasks you might be working on 
  • Support day-to-day management of the maritime and aviation programs, including administration, scheduling, and coordination of virtual and in-person meetings, as well as assisting with the delivery of online training through the SFC Academy. 
  • Organize and facilitate program meetings, ensuring proper setup, documentation, recording and secure storage of materials.
  • Maintain up-to-date business administration in the CRM system, including updating accounts, contacts, mailing lists, campaigns, and tracking engagement.
  • Manage content on SFC’s member platform, keeping resources such as recordings, slides, and meeting minutes current and easily accessible.
  • Represent SFC at select internal and external events or meetings, as required.
  • Support process improvements and contribute ideas to enhance internal workflows and efficiency.
  • Coordinate with the Communications Team to support events, social media activities, and website updates, ensuring accurate scheduling and delivery.
  • Coordinate and assist with requests from other teams (e.g., Strategic Membership Services, Communications, Events, People & Culture, Management Team), including preparation of quarterly reports, presentations, and other deliverables.
  • Follow up on pending internal and external requests to ensuretimelycompletion.
  • Draft meeting minutes when needed and transfer tasks to MS Planner to track follow-ups and responsibilities.

  • Strong organizational skills, with the ability to manage multiple tasks, track deadlines, and follow up proactively.
  • Attention to detail whilemaintainingan overview of the bigger picture, and the ability to structure work in a complex, fast-changing environment.
  • Effective communication skills, both written and verbal, with the ability to interact confidently with internal teams, external partners, and stakeholders.
  • Experience or aptitude in stakeholder engagement and management, with an understanding of international collaboration dynamics.
  • Fluency in spoken and written English.
  • Proficiencyin MS Office and comfort with digital tools, including CRM systems, MS Planner (or similar task management software), and virtual meeting platforms.
  • Experience with automation/process automation is an added advantage.
  • Interest in or experience with sustainability, green shipping, and aviation sectors.
  • Motivation and passion for contributing to a greener, more efficient global freight sector.
  • Adaptability, flexibility, and the ability to work independently while proactively supporting colleagues.
  • A collaborative mindset and willingness to contribute ideas for process improvement.
